Nebula Digital Technologies policy documents

These policies explain how Nebula Digital Technologies handles client accounts, website orders, hosting, domain buying, invoices, payment instructions, and support updates.

This page is a practical business policy draft for the current Nebula website and portal. It should be reviewed by a qualified Namibian legal professional before final publication.

Privacy Policy

Information we collect

Nebula may collect your name, email address, phone number, login details, order details, domain names, hosting requirements, project notes, invoice details, payment references, proof of payment, and support messages.

When the client portal is used, Nebula may also process account security details such as email verification status, password reset requests, and basic activity needed to protect the account.

How we use information

  • To create and manage client accounts.
  • To prepare quotes, orders, invoices, reminders, and project updates.
  • To register, renew, transfer, or manage domains requested through Nebula.
  • To set up hosting, email, SSL, DNS, backups, and related services.
  • To verify payments and respond to support requests.
  • To protect the website, portal, staff console, and client records.

Sharing information

Nebula only shares client information when needed to deliver a service, process payment verification, comply with law, or protect the platform. This may include domain registrars, registries, hosting providers, payment or banking providers, email providers, and professional advisers.

Card information

Nebula does not collect or store card numbers directly. Card and wallet options must only be enabled through a certified payment gateway or authorised merchant service provider.

Your privacy requests

You may request access to your client information, ask for corrections, request deletion where records are no longer needed, or ask how your information is being used. Some information may be retained for invoices, accounting, domain records, fraud prevention, dispute handling, or legal requirements.

Terms of Service

Using Nebula services

By creating an account, placing an order, accepting a quote, paying an invoice, or using Nebula services, you agree to these terms. Nebula provides web design, website development, hosting, business email, domain buying, DNS setup, invoices, and client updates.

Client responsibilities

  • Provide accurate contact, billing, domain, and project information.
  • Keep portal login details private and notify Nebula of unauthorised access.
  • Pay invoices by the due date shown on the invoice.
  • Provide content, approvals, and feedback needed to complete the project.
  • Use Nebula services lawfully and without harming other users or systems.

Nebula responsibilities

Nebula will provide services with reasonable skill and care, communicate progress through the portal or approved contact channels, issue invoices, and protect client information using appropriate security practices.

Domain Buying Policy

Domains must be purchased or managed through Nebula for managed services

For Nebula managed hosting, email, and website bundles, domains should be bought, renewed, transferred, or managed through Nebula so DNS, renewals, invoices, and technical support can be handled correctly.

Domain registration depends on availability, accurate registrant details, registry rules, registrar approval, and successful payment. A domain is not guaranteed until registration is completed and confirmed.

Renewals and transfers

Clients are responsible for paying renewal invoices before expiry. Late payment can cause domain suspension, expiry, redemption fees, or loss of the domain. Transfers may be allowed after all outstanding balances are settled and the applicable registry or registrar rules are met.

Non-refundable domain costs

Domain registration, renewal, transfer, redemption, and registry fees are generally non-refundable once submitted to the registrar or registry.

Hosting Acceptable Use

Fair and lawful hosting use

Nebula hosting may not be used for spam, phishing, malware, scams, illegal content, copyright infringement, abusive automation, credential theft, unauthorised access, or activity that harms the server, network, Nebula, or other clients.

Nebula may suspend or restrict services when there is abuse, non-payment, security risk, excessive resource usage, legal risk, or a serious breach of these policies.

Backups and client content

Nebula may provide backups as part of hosting support, but clients should keep their own important copies. Clients remain responsible for the legality, accuracy, licensing, and ownership of content they provide.

Billing and Refunds

Invoices, reminders, and subscriptions

Nebula issues invoices through the client portal or by approved contact channels. Monthly hosting, email, maintenance, and subscription services may be billed in advance. Staff may send payment reminders for unpaid invoices.

Late payment

If payment is late, Nebula may send reminders, pause new work, suspend hosting or email, withhold handover files, or delay domain renewals until the account is settled.

Refunds and cancellations

Refunds are reviewed case by case. Third-party costs, domain costs, bank charges, completed work, activated hosting periods, and custom work already delivered are generally not refundable. Cancellation requests should be sent in writing before the next billing period.

Payment Policy

Authorised payment methods

The active authorised payment method is FNB bank transfer to Nebula Digital Technologies. Clients should use the invoice number as the payment reference and upload or send proof of payment when requested.

Online card or wallet payments

Card, instant EFT, or mobile wallet payments must only be enabled after Nebula connects an approved ecommerce payment gateway or online merchant service. Until then, clients must not enter card details into Nebula forms.

Security Policy

Account and platform security

Nebula uses account login controls, email verification, password reset flows, staff-only access controls, invoice status tracking, and limited staff permissions to protect client records.

Clients should use strong passwords, keep email accounts secure, log out on shared devices, and immediately report suspicious account activity.

Production note

The current local/demo portal stores some data in the browser for testing. Before going live, client data should be moved to a secure server-side database with proper authentication, encrypted connections, access controls, backups, and audit logging.

Cookie and Local Storage Policy

How the site remembers information

Nebula may use local storage, session storage, or cookies to remember theme preferences, portal login state, account data during the demo phase, invoice state, and security-related settings.

In production, Nebula may use necessary cookies for login, security, payment status, and portal sessions. Optional analytics or marketing cookies should only be added with clear disclosure and the right consent controls.
